Refund and Withdrawal Policies
The date a student officially notifies the Registrar's Office of withdrawal is the official date used for all financial adjustments. Tuition and mandatory fees are reduced according to the schedule below. Any Federal Financial Aid or Military Tuition Assistance (TA) benefits will be adjusted based on the withdrawal date per Federal Financial Aid Return of Funds Guidelines, until 60% of the enrolled term has passed. Once financial adjustments are complete, any overpayment will be refunded to the student.

- Federal Financial Aid will be returned to the correct programs based on attendance as established by federal guidelines. Once 60% of the semester or term has passed, no adjustments will be made. Contact the Financial Aid Office for specific dates.
- All Batten University Scholarships and Grants, and Virginia State Aid, will be adjusted based on the percentage of tuition and fees charged at the point of withdrawal.
- The return of any aid may create an unpaid balance. If you received a refund check prior to withdrawing, you may be responsible for returning those funds to Batten University.
- An administrative fee of 5% of total semester charges — or $100, whichever is less — will be added to your account upon withdrawal for any reason.
Return of Military Tuition Assistance (TA)
Military Tuition Assistance (TA) is awarded under the assumption that the student will attend school for the entire period for which the assistance is awarded. When a student withdraws, they may no longer be eligible for the full amount of TA funds originally awarded.
To comply with Department of Defense policy, Batten University will return any unearned TA funds on a prorated basis through at least the 60% point of the enrollment period. TA funds are earned proportionally; unearned funds are returned to the military service branch.
When a service member stops attending due to a military obligation, Batten University will work with the affected service member to find solutions that will not result in student debt for the returned portion.
